1. Who we are

2. Published privacy principles
The existing policy describes using information to answer requests, improve services and communicate offerings; safeguarding information; and sharing with permission or where legally required. It also explains marketing opt-out and correction requests. Read the linked original for its full provisions.
3. Information we collect
Contact details: your name, email and password, and an optional phone number. Company details: company name, UEN if your company is registered, and a forwarding address if your plan includes forwarding. Payment details: handled entirely by Stripe, our payment processor — we never receive or store your card number, only the card's brand and last 4 digits, plus Stripe's own reference for your subscription and invoices. Compliance documents: identification for each director, proof of your residential address, your ACRA business profile, a beneficial ownership declaration and a signed service agreement, uploaded as files. Mail records: the sender, date and status of each item, and a digital scan for Mail Scanning and Forwarding + Scanning plans.
4. How we use information
To create and run your account, check your eligibility and run compliance checks required of us as a Corporate Service Provider, process payments through Stripe, collect and handle your mail according to your plan, and send you service emails — mail arrived, a document is needed, a payment succeeded or failed, your plan changed, or your subscription is due to end. We do not currently use your information for marketing analytics or advertising.
5. Service providers and sharing
We share information with two processors to run the service: Supabase (our database and document storage) and Stripe (payment processing). Neither uses your information for their own purposes. We may share compliance information with ACRA, MAS, or another authority where required by law. We do not sell personal information. 6. Storage and retention
Your account and company details, and the documents you upload, are kept while your account is active. Compliance documents and mail records are retained after your account closes because we're required to keep evidence of who we checked, what we checked, and when — [confirm: the exact retention period with our compliance advisor]. Passwords are hashed by our authentication provider and are never visible to us in plain text. Identity documents are stored in a private area only our staff can access; they are never public and never used for marketing.
7. Cookies and analytics
We use one required cookie to keep you signed in. We do not currently use marketing or advertising cookies, or third-party analytics trackers. This differs from the existing Squarebook website's policy, which describes possible traffic-analysis cookies — that policy applies to the public website, not your account.
8. Privacy enquiries
Send privacy questions, access requests, correction requests, or a request to withdraw consent to contact@squarebook.com.sg. Do not include a password or document number in your message. For existing Squarebook services outside this platform, consult the published policy linked above.
