Singapore virtual office services

Website and service terms

Terms & Conditions

Draft prepared: 16 September 2026

Draft — accurate to how the service works today, but not yet reviewed by a lawyer. Sections marked “Confirm” still need a business or legal decision before this can go live.Read Squarebook's published website terms and privacy policy.

1. Business and service details

Squarebook Advisory Pte Ltd (Singapore registration number 201531273D) operates Squarebook's virtual office service: a registered business address, mail collection, digital scanning and forwarding for Singapore businesses. Accounts, payments and mail handling described below are live, not a preview.

2. Website use and professional advice

Website material is general information, not professional advice. Its accuracy and availability are not guaranteed. Check suitability and seek advice before relying on it. Singapore law governs website use. These points cover the public website; your subscription is governed by the sections below.

3. Copyright and external websites

Squarebook reserves rights in its materials; commercial reuse requires permission. External links do not imply endorsement.

4. Eligibility and registration

Squarebook is for businesses registering or operating in Singapore — companies already incorporated with ACRA, and businesses still preparing their incorporation. Every application goes through a compliance check before the address becomes active, and Squarebook may decline an application that doesn't pass this check. Only someone lawfully authorised to act for the company may register on its behalf.

5. Use of the business address

The address may only be used once your account is active (compliance cleared and your plan paid) and only for the purposes agreed at signup — as your registered office, company correspondence address, or both, depending on your plan. Using the address for ACRA registration or any other purpose before your account is active is not permitted.

6. Mail handling

What happens to your mail depends on your plan. Self Collection: we notify you when mail arrives and you collect it in person. Mail Scanning: we open eligible letters and send you a digital copy. Forwarding + Scanning: you get the digital copy and we forward the physical item to your registered address once a month. [Confirm: how long physical mail is kept before disposal, especially for an expired or closed account, and any items excluded from scanning or forwarding.]

7. Prices, payments and renewals

Applying costs a non-refundable S$20 processing fee, charged before your compliance check. If approved, your selected plan is then billed annually at its listed price and renews automatically each year unless cancelled. If your application is declined, you are not charged anything beyond the S$20 fee. If a renewal payment fails, we retry automatically and email you; if it keeps failing, your address is suspended until you update your payment method or renew.

8. Changing or cancelling your plan

Switching between Mail Scanning and Forwarding + Scanning is free and immediate. Upgrading to a pricier plan charges the prorated difference for the rest of your term immediately. Downgrading also takes effect immediately, crediting the unused value toward your next renewal rather than refunding it. You can cancel at any time — your plan stays active until the date it would have renewed, with no refund or credit for the unused portion.

9. Refunds

Neither the S$20 processing fee nor your plan's annual price is refundable to you as a matter of course, whether your application is declined or you later cancel. Squarebook may, at its discretion, correct a genuine billing error (such as a duplicate charge) — this is not a standing entitlement to request a refund for any other reason.

10. Customer responsibilities

Keep your company and contact details current, and tell us promptly if a director, beneficial owner, or your registered address changes. Keep your login credentials confidential — you're responsible for activity under your account. Only upload documents that are genuinely yours or your company's to provide.

11. Service suspension and termination

An account that fails compliance review, or repeatedly fails to pay a renewal, may be suspended. [Confirm: what happens to mail received during a suspension, and the notice given before an account is closed and address use ends.]

12. Liability and disputes

Squarebook is not liable for loss arising from delayed, lost, or misdirected mail beyond what is required by Singapore law, or for service interruption outside its reasonable control. [Requires legal review: a specific liability limit, and the dispute resolution process, are not yet set.]
